Work in tandem with the CFO and the superintendent while developing the document. Once the document is prepared, make sure to get the superintendent to schedule the presentation of the plan at a school board meeting in early spring (January-February). Make sure the entire 5 Year Plan document gets into the board packet for the board members to review. Try not to overwhelm the board with the first presentation and don't assume that every board member will read the document.
At the board meeting, go over everything with them carefully the first time. In subsequent years a more condensed version can be presented unless there are a lot of new members. Use this presentation as a teaching moment, don't assume the board members know anything about what a band director does; they don't. The expert is the director and the board and administration will begin to rely on the director for guidance.
Use a Prezi or Power Point to illustrate and highlight the main points of the presentation for those visual learners. Use graphs and pie charts to assist in getting the point across. Allow time at the end to entertain questions and try to solicit questions from the board throughout the presentation. Be clear and succinct in presenting the plan.
Do your homework and make sure that all numbers are accurate. Don't expect to get everything in the plan all at once; but, do have an expectation to get the needs.
